Start a workflow

💡 To start a workflow, you must first select the model you wish to use as a basis — or choose a pre-built template to get started even faster.

From where can you start a workflow?

You can launch a workflow from several places in Aletiq:

  • 🏠 From the home page — add up to 3 models as favourites for quick access, or click [+ Start a workflow with another model].

  • 📂 From the Aletiq module bar — access all your workflow models.

  • 📋 From the workflows home page — global view of all ongoing workflows and a creation button.

  • 🔗 From the detail panel of an object (document, part, product definition) — the most common case: the object is linked automatically, just select the revision to process.

Start from a model or a template

At the first creation step, Aletiq gives you two options:

  • Start from a model type — choose an existing model configured by your team. Each model now has a description to help you pick the right one.

  • Start from a template — Aletiq provides pre-built templates for standard processes: document review and validation, part review and validation, drawing review and validation, ECR (change request), ECO (change order). Selecting a template automatically creates a new model based on it — which you can then customise.

Configure and launch the workflow

Before launching, Aletiq lets you configure the workflow tasks. A 🚧 warning indicator flags any missing elements (assignee, distribution list, etc.). Once everything is filled in, the workflow can be launched.

If the model includes forms, the fields are filled in by the task assignees. If the workflow is restarted after a refusal, form fields are pre-filled with the previously entered values — no need to start from scratch.

Completing a task assigned to me

When a workflow is running, the active task is visible to everyone from the object's detail panel. The task assignee also sees a banner at the top of the screen allowing them to complete it directly without navigating away.

Users with edit rights can move items between Draft and In Review status without needing approval rights.

Cancel or abandon a workflow

If a task is refused without a configured return point in the model, the workflow is automatically abandoned. Otherwise:

  • The workflow creator or a user with an Admin licence can manually cancel a workflow by providing a reason.

  • Other participants are notified of the cancellation.

When restarting a workflow, form fields are not erased so that you keep your context when starting over.

🚨 Only the Admin licence allows permanently deleting a workflow, regardless of its status (in progress, cancelled or completed).
