Share one or more documents externally
📄 From the document detail panel
Open the Share document menu, enter the external recipient's email and send. They immediately receive a secure link to the sharing portal.
📁 From the Documents home page
Select multiple documents, click Share externally and enter one or more recipients. Each one receives an email with access to all documents shared with them — including those shared previously.
💡 External sharing is accessible to users with an Admin or Manager licence.
What is shared
On the external portal, only PDFs of validated revisions are accessible. No source files or drafts are transmitted.
💡 Make sure the validated revision contains a viewable PDF in Aletiq. Otherwise the sharing will show an error ("External sharing issue") and the document will remain inaccessible.
Managing external sharing
📂 Manage your active shares
From Administration > External Sharing, view all documents currently shared, with for each entry:
🕒 The sharing date
📑 The document ID and its revision
👤 The recipient(s)
If a share is no longer needed, revoke it in one click: the recipient immediately loses access.
💡 This gives you full control over what your partners can view at any time.
🕓 Sharing history
The history provides a complete view of everything that has been shared: date, documents involved, recipient email and current status. You can search and filter entries to quickly find a specific share. Filters are saved between sessions.
On the external recipient's side
The recipient receives an email with a link to the shared documents portal. At each login, they enter their email and receive a one-time code (OTP) — only the correct email address can access the portal.
On the portal, they can:

📄 View PDFs directly in the browser
✅ In short: no Aletiq account to create, nothing to install — your partners can immediately access the authorised files, simply and securely.
