Creating and managing watermarks

Watermarks are useful to share warnings to users

💡 Watermarks automatically display a visible label on your PDF documents based on their properties — with no manual action required from users.

Two types of watermarks in Aletiq

  1. The automatic system watermark
    Aletiq automatically adds an Aletiq info: watermark to all PDF previews. It displays the revision index, status (Draft, Validated...) and digital signatures. This behaviour is systematic and cannot be configured.

  2. Custom watermarks (Admin)
    In addition, Admins can configure extra watermarks from Administration > Watermarks. These watermarks are triggered automatically based on matching rules against document properties — for example: if the Confidentiality property = "Confidential", then display CONFIDENTIAL on all matching documents.

What is it actually for?

Some concrete examples:

  • 📄 A document whose Confidentiality property = "Confidential" automatically displays CONFIDENTIAL as a watermark

  • 🔒 A document whose Distribution property = "Limited" displays LIMITED DISTRIBUTION

  • 🏗️ A document linked to a specific project or client can display the project name

  • ⚠️ Any draft document automatically displays DRAFT — this behaviour is systematic and cannot be configured

The watermark appears directly on the PDF preview in Aletiq, with the label Aletiq info: at the bottom of the page. It is visible to all users.

Setting up a watermark

👤 Only users with an Admin licence can create or modify watermarks.

  1. Go to Administration

  2. Click on Watermarks

  3. Click on + New watermark

  4. Fill in the form:

    • Name of the watermark (internal use)

    • Text to display on the document

    • Colour if needed 🎨

    • Application condition: select a property and one or more trigger values

  5. Click Confirm

✅ The watermark is automatically applied to all documents whose property matches the chosen value — both existing and future documents.

Edit or delete a watermark

  1. Go to Administration > Watermarks

  2. Hover over the watermark concerned

  3. Click ✒️ Edit to modify it, or the delete icon to remove it

  4. Confirm the change

ℹ️ Editing an existing watermark automatically updates the preview of all affected documents.
