Managing sharing options

Sharing technical data with other sites of your organization become so simple

Key principles

  • When a user creates a new object (article, document, CAD, workflow, etc.), the object is associated with the user's site, or with the organization if no site has been set up in Aletiq.

  • Sharing options - or distribution perimeters - allow you to manage the environments in which the object can be accessed, in addition to access rules.
    3 options exist:

    • Private: the object is accessible only by the user (e.g. a document being worked on),

    • Site: the object is accessible to the selected site(s), in accordance with the access rules in place,

    • Organization: the object is accessible to all users, in accordance with the access rules in place.

⚠️ Only Admins and Managers with modification rights can manage sharing options.

  • The diffusion scope can be setup in addition of access rules, which restrict the access of users

Examples of use cases:

  • Share the last version of a plan and instructions with another site as part of a subcontracting agreement.

  • Share a validation process with a signatory based in another entity.

  • Share a CAD to improve collaboration between design teams.

  • Distribute a document to all users.

Updating sharing options

To change the scope of distribution of an object:

  1. Go to Files > Documents,

  2. On the document you wish to share, click on Open,

  3. Click on Share in the top right-hand corner,

  4. Select one of the available options - multiple sites can be selected,

  5. Confirm modification.
