An Aletiq document is much more than just a Word or pdf file. Everything has been done so that you can simply :

  • Classify your documents and find them again with just a few clicks

  • Track the various revisions

  • Manage signature and validation circuits

  • Link your documents to other objects (projects, articles, documents, etc.)

A brief overview of the interface

To access your documents, you can click on Files then Documents in the menu at the top of the application. This will take you to a page displaying all the documents to which you have access. Here you can navigate between Views, filter documents or perform a search.

From a row in the table, you can open the document details pane to display all the information.

Monitoring document revisions

In Aletiq, a document has several revisions which can be viewed independently of each other.

To view the revisions of a document, go to the Revisions tab in the details pane of your document. Here you will see the successive revisions with :

  • the revision index (the name of the revision)

  • a description of the changes made in this revision

  • the status of the revision (draft, approved or obsolete)

It is then possible to update documents without multiplying the number of files in the database.

Manage signature and validation circuit

Thanks to the workflow modules, you can create signature circuits for your documents.

If you upload a Word, Excel, Publishero or Powerpoint file to Aletiq, the application automatically generates a viewable PDF file. This means you no longer have to manually manage the source file and the PDF for distribution.

You can upload the source file or the signed pdf file independently.

When you sign a document, Aletiq saves your signature in its database and places a watermark with your signature at the bottom of each page of the pdf of your document.

Only draft revisions can be signed. Furthermore, if you modify the draft revision of your document, the signatures will be erased and you will have to restart the validation circuit.

Contextualising the document

You can then link your document to other objects in the application:

  1. In the Products tab, you can link your document to items or tools.

  2. In the Cited documents tab, you can declare the standards, specifications, etc. cited in the document to facilitate your impact analyses.

And what's next?

Now that you've discovered the main principles of document management in Aletiq, you can install the Aletiq plug-in for Office to edit your documents even more quickly.
