Aletiq Plug-in for Office

Installation of the Aletiq plug-in in Office applications

In this article, you'll learn how to:

  • Create, edit and save an Aletiq document directly from Word, Excel or PowerPoint,

  • Edit a document already managed in Aletiq without ever leaving your office tool.

⚠️ Requirements: Your IT administrator must have already deployed the add-in in your Office 365 environment.

What is the Office plug-in for?

No more back-and-forth between your office tools and Aletiq: with the Aletiq plug-in for Office, your document management comes straight to you, in Word, Excel and PowerPoint.

  • Create a document in one click from Word, Excel or PowerPoint (.docx, .xlsx, .pptx) and save it to Aletiq without ever leaving your file,

  • Edit a document already managed in Aletiq by opening it directly in Office, no download or re-upload needed.

👉 Once deployed, a single Aletiq button in the Home tab of the ribbon gives you access to the plug-in in all three applications.

💡 The plug-in isn't a bulk import tool: it creates or edits one document at a time, from the file open in Office. To load several existing files into Aletiq at once, use drag-and-drop from the Documents space.

Logging in to the Office plug-in for the first time

  • Click Home > Aletiq > Log in

  • Your default browser opens on a confirmation page with a code

  • Check that this code matches the one shown in the Office pane, then click Confirm

  • Two possible outcomes:

    • An Aletiq session is already active in your browser: you land straight on "Congratulations, you're all set!"

    • No active session is detected: you're asked to authenticate with your usual SSO credentials before reaching that same confirmation screen

  • Back in Office, the pane now shows "You are logged in to Aletiq"

👉 The plug-in connects to the active Aletiq session remembered in your web browser's history: if you're already logged in to Aletiq in that browser, the connection is near-instant. Otherwise, you'll go through your usual SSO authentication.

👉 The plug-in's language automatically matches your Aletiq web app's language. For example, if your Aletiq web app is in English, the Office plug-in will display in English too.

Create and save a new document to Aletiq

A blank document that doesn't yet have a storage path on your PC (never saved locally) cannot be imported into the Aletiq Cloud DMS via the Office plug-in.

For a document "from scratch":

  • Write your document in Word, Excel or PowerPoint

  • Save it locally as a temporary step

  • Click Save in the Aletiq pane

  • Fill in the requested properties, then confirm

If your administrator has made a property required for this document type, creating it from the plug-in isn't possible for now: create the document from the Aletiq application via the + New document form or by drag-and-drop (where you can fill in that property), then edit it afterwards from Office.

Open a file from the Aletiq DMS and edit it in Office

  • From Aletiq, open the document with the Office plug-in. Two options:

    • Open: the file simply opens in Office

    • Open and lock: the file opens in Office and Aletiq notifies other users that you're currently editing it

  • The file opens in Protected View or Read-Only: enable editing

    • Protected View → click Enable Editing

    • Read-Only → View menu (top right) → Edit a Copy

  • A "Your changes won't be saved" banner may appear: ignore it, this is expected

  • Edit your document as usual

  • Click Save in the Aletiq pane to push your changes

  • If Word asks to save locally when closing, answer No

🔒 Saving the file locally isn't necessary: the Save button in the Aletiq pane sends your changes directly to Aletiq, regardless of the file's local save state.

💡 Good to know

  • Only revisions with Draft status can be edited.

  • Supported formats: .docx, .xlsx, .pptx only.
